Title: Office Secretary
Overview
We are seeking a well-organized and professional Office Secretary to provide administrative and clerical support and ensure smooth office operations. The ideal candidate will handle correspondence, scheduling, documentation, and coordination tasks while maintaining confidentiality and professionalism.
Role & Responsibilities
Handle daily office correspondence including calls, emails, and letters
Manage schedules, appointments, and meeting calendars
Prepare, format, and maintain documents, reports, and files
Maintain records, registers, and confidential documents
Coordinate meetings, take minutes, and follow up on action items
Assist management with administrative and clerical support
Handle incoming and outgoing mail and courier services
Support coordination between departments
Maintain office supplies and stationery inventory
Welcome visitors and manage front-office activities when required
Perform additional secretarial and administrative tasks as assigned
Education / Certification
Bachelor’s degree or equivalent qualification preferred
Diploma or certification in Secretarial Practice or Office Administration is a plus
Knowledge / Experience / Skills
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Good typing speed and documentation skills
Strong verbal and written communication abilities
Organizational and time-management skills
Ability to handle confidential information with discretion
Professional attitude and attention to detail
